    We are now moved to our new Zimbra server but some of your things are not quite right… see if your issue is listed here:

    Q: When I log in to zimbra.lps.org, I do not see all of my mail folders – how do I make them show up on Zimbra?
    A: One possibility is that your folders were unable to be moved because the folder names were incompatible with our new Zimbra server.  Our old server allowed special characters like . – & etc but our new server does not.  If you had folders with names containing special characters and need them retrieved them from the old server, please out in a helpdesk ticket with the old folder name and a new name that it could be given on the Zimbra server without special charters.
    A: Another possibility is that your mail folders are actually local folders, meaning that they are stored on your computer’s hard drive instead of the server itself.  If you wish to move those folders up to the Zimbra server so that you can access them through Zimbra, please put in a helpdesk ticket to request assistance in getting them moved.

    Q: I am able to log in to zimbra.lps.org but my current list of contacts are not in my addressbook.  How do I get them there?
    A: Contacts were only moved from Convergence so if you were using and updating your addressbook in WebMail Lite, you will need to put in a helpdesk ticket to have them retrieved.
    A: If you use Thunderbird, your addresses are still safely stored there.  If you plan to continue to use Thunderbird for email then you will just launch it and your addresses will be available to you again.  If you would rather start using zimbra.lps.org for email, then you will want to export your addresses from Thunderbird and import them into the Zimbra addressbook.  You can find instructions here.

    Q: I can not connect to the mail server at all using Thunderbird. How do I fix that?
    A: Make sure your settings match those found here: Mail Server settings.

    Q: I am connected to the mail server just fine with Thunderbird.  I can also send and receive BUT I am not seeing all of my email folders.   What do I do?
    A: Thunderbird is no longer ‘subscribed’ to those email folders and you just have to tell it to attend to them again:

    1. Log in using Thunderbird
    2. Go to Account Settings
    3. Click Server Settings
    4. Click Advanced
    5. Uncheck the setting for Show Only Subscribed Folders
    6. Click OK

    Each LPS user has a personal calendar in Zimbra.  A user’s calendar should contain event data for the individual including meetings, reminders, birthdays, etc.

    A personal calendar is not the place to create a school-based meeting calendar such as the IEP meeting schedule, room reservations or even the master calendar for the school.  We call those ‘types’ of calendars Resource Calendars because the information on the calendars are resources for others @ the school.

    Any time a school or group has a need for a calendar to contain event data that is not specific to ONE person, then a helpdesk ticket should be entered with the following information:  Calendar type, Calendar administrator email address, additional email addresses of those that would ADD events to the calendar.

    There are three MAIN types of resource calendars that have been created for many schools (not all have requested). (The list below uses Park Middle School as the Example School PAR)

    1. PARstu – Student-based events such as IEP meetings, MDT meetings, Student Services meetings
    2. PARfs – Facilities Use Schedule event tracking
    3. PARmeetings – Staff-based events such as Staff meetings, PLC meetings, Committee meetings, etc

    Some schools are also using Zimbra for their Parent/Community published Calendar.  Example: Cavett Elementary

    Having your signature at the bottom of all outgoing messages saves you time and helps people ‘place you’ when they deal with a lot of email.  (I know that I truly appreciate email messages with signatures)

    1. Log in to Zimbra
    2. Click the Preferences tab at the top
    3. Click the Signatures link on the left side of the page
    4. Title your signature something like ‘work’ or ‘school’
    5. Type the information that you would like to appear at the bottom of your email
    6. Decide whether you want your signature to appear below or above included messages
    7. Click the Save button toward the top of the page
    8. Click the link at the bottom of the Signature page that says: A default signature can be set on the Accounts Page
    9. On the Accounts page, select the signature that you’ve just created

    The adoption of  a new email and calendar suite is a major undertaking for everyone.  Thankfully, a great deal of what you already know about using an email and/or calendar application applies in Zimbra too.  Nevertheless, there are some things that will look and feel different in Zimbra.

    Three of the main ways that you can learn more:

    1. When you are logged in to Zimbra, there is a Help link in the upper right-hand side of the screen.  We have looked through it and believe that it will address many common questions.
    2. Access the Zimblog (You’re here!) and use the search box in the upper right-hand side of the page to search for a keyword that may be contained on one of the posts.
    3. Attend a Zimbra Training class (watch the staff development catalog for training opportunities)

      If this were a perfect world we would flip the district from the Sun communication suite over to the Zimbra collaboration suite without a hitch and everyone would go about their business.

      But since we don’t live THERE, it is possible that not everything will go as planned especially as we get everything and everyone settled into our new ‘homes’ in Zimbra Land.

      If you are one of the people for whom things are not perfect, please know that Computing Services will be working through all issues as fast as we can.  You can help us by considering the following before contacting us:

      1. Can you get to the Zimbra login page on Staff Center?
      2. Are you able to login to Zimbra successfully?
      3. Can you see your email and folders (if you had folders before)?
      4. Can you send and receive email?
      5. Are your addressbook contacts there? (contacts were only moved from Convergence)
      6. Can you see your calendar events?
      7. Do you need access to a resource calendar that is now not available to you?  What is the name of it?
      8. Do you need to see the events on another person’s calendar?
      9. Do you need to set up a 3rd Party Desktop Client? (Thunderbird, etc)
      10. Do you need a mobile device setup? (iPod Touch, iPad, Smart Phone)

      If you have an issue that matches one or more of these questions, we ask that you go to the Helpdesk web site and enter a ticket: http://help.lps.org (instructions for filing a ticket can be found here)

      As mentioned above, we will be working through the issues as fast as possible but those that correspond to #1 above will come first, then those like #2 and so on.

      Our main priority will be that everyone can log in and access their own email and calendar via the Zimbra web site.  The rest will follow.

      Since we have been using the metaphor of moving to a new house, some of you may be wondering what is happening to the old house and the stuff that you had stored there (email messages, contacts, calendar data).

      When we talk about moving your stuff, we are actually making a copy of all of your email, the email folder structure that you have on the server, the contacts that you have in Convergence and the events that you have stored on your web calendar.  The copy of all of this stuff will be where you start in your new Zimbra house.

      We will not be deleting or destroying the information contained on the ‘old’ server until a much later date. What that means is that if something gets left behind (we don’t think that it will, but in the off chance that something does) we can go back to the ‘old’ server and retrieve it.

      You will also have Read-only access to the old web calendar for a period of time so that you can compare event data between your old and new calendars.  (We will provide a link to access the old calendar)

      Computing Services is working very hard to make sure that nothing is left behind but you can rest easily knowing that we will be able to go back to retrieve something if the need arises.

      Administrators, Secretaries and Special Education Coordinators,

      In preparation for the move to the Zimbra environment, Computing Services needs a thorough understanding of how your building/dept uses resource calendars. In order to account for each resource calendar across the district, we are asking you to fill out a form (link below) for EACH resource calendar used by your bldg/dept/group.   If your bldg/dept does not use resource/meeting calendars on our current calendar system, then this may not apply to you.

      What ‘qualifies’ as a resource calendar?
      Resource calendars are used for things like making room reservations and scheduling IEP meetings. They are not personal/professional use calendars but may possibly be set up by an individual under their LPS account (ex: zsmith: IEP Meetings). That type of calendar should be included.

      Special Education Coordinators
      If you have set up your own IEP calendar as a part of your personal account, please complete the form for that calendar as well so that we can get you set up with a proper IEP calendar in Zimbra.

      ** If you already use the Resource Reservation System (RRS) to book labs, projectors, etc. you will continue to use that system for those things.

      If you do use this type of calendar on our current calendar system, please access the link below as soon as possible so that we can assess needs.
