  We’ve never supported Entourage as a mail application, but we know there are some that use it. If you are an Entourage user and are interested in switching to the Zimbra web interface, you may find getting your contacts moved over to be a tricky affair. Here are some steps that we have been told work:

  1. In Entourage Preferences, General Preferences -> Sync Services – check “Synchronize contacts with Address Book and .Mac” Click OK, then select “Replace Sync Services items with Entourage items”.
  2. Open the OS X Address Book, select all contacts and then File -> Export -> Export vCard
  3. In Zimbra, go to Preferences -> Import/Export -> Import: then choose your exported file and import it.

  If you are in this boat and having problems, we hope this helps you out. If you still have problems, we suggest that you search phrases like “entourage export vcard” or “entourage migrate to zimbra”. Given that Entourage is unsupported at LPS, our help desk is not prepared to field questions about it.

  We are now moved to our new Zimbra server but some of your things are not quite right… see if your issue is listed here:

  Q: When I log in to zimbra.lps.org, I do not see all of my mail folders – how do I make them show up on Zimbra?
  A: One possibility is that your folders were unable to be moved because the folder names were incompatible with our new Zimbra server.  Our old server allowed special characters like . – & etc but our new server does not.  If you had folders with names containing special characters and need them retrieved them from the old server, please out in a helpdesk ticket with the old folder name and a new name that it could be given on the Zimbra server without special charters.
  A: Another possibility is that your mail folders are actually local folders, meaning that they are stored on your computer’s hard drive instead of the server itself.  If you wish to move those folders up to the Zimbra server so that you can access them through Zimbra, please put in a helpdesk ticket to request assistance in getting them moved.

  Q: I am able to log in to zimbra.lps.org but my current list of contacts are not in my addressbook.  How do I get them there?
  A: Contacts were only moved from Convergence so if you were using and updating your addressbook in WebMail Lite, you will need to put in a helpdesk ticket to have them retrieved.
  A: If you use Thunderbird, your addresses are still safely stored there.  If you plan to continue to use Thunderbird for email then you will just launch it and your addresses will be available to you again.  If you would rather start using zimbra.lps.org for email, then you will want to export your addresses from Thunderbird and import them into the Zimbra addressbook.  You can find instructions here.

  Q: I can not connect to the mail server at all using Thunderbird. How do I fix that?
  A: Make sure your settings match those found here: Mail Server settings.

  Q: I am connected to the mail server just fine with Thunderbird.  I can also send and receive BUT I am not seeing all of my email folders.   What do I do?
  A: Thunderbird is no longer ‘subscribed’ to those email folders and you just have to tell it to attend to them again:

  1. Log in using Thunderbird
  2. Go to Account Settings
  3. Click Server Settings
  4. Click Advanced
  5. Uncheck the setting for Show Only Subscribed Folders
  6. Click OK

  Export Your Address Book from Thunderbird

  Thunderbird will work with Zimbra just as it did with our previous email system.

  If you should decide to stop using Thunderbird and switch to Zimbra, you can export your Thunderbird address book into a .CSV file that can be used to populate your addressbook in Zimbra. Follow these instructions or put in a Help Desk ticket for assistance.

  1. Open Thunderbird’s Address Book
  2. Select the address book (‘Personal Address Book’ or any others you may have created) from the list on the left.
  3. Go to the Tools menu and choose Export
  4. In the window that pops up:
     1. Save As: Thunderbird-contacts.csv.
     2. Where: Desktop
     3. Format: Comma Separated
     4. Click ‘Save’
  5. Repeat this process as necessary for additional address books listed on the left (step #2), should there be any.

  NOTE: The export process from Thunderbird will NOT contain your groups or lists, just the individual contacts. If you need to maintain the integrity of groups or lists, consider selecting groups or lists one at a time (in step #2) and exporting them independently of each other. Be sure to give them good, distinguishable names when you save them to your desktop. Then when you bring them into Zimbra or any other address book tool, you can import them group-by-group and manage the “re-grouping” of them in a more orderly fashion.

  Import Your Address Book (.csv) Into Zimbra

  Following are instructions for migrating your Address Book to the LPS Zimbra server.

  

  1. Log into your LPS Zimbra email account and select the ‘Preferences‘ tab in the top row.
  2. Select ‘Import/Export‘ from the options on the left
  3. Click the ‘Choose File‘ button in the ‘Import’ section of the window. This will prompt you to locate the .csv file of addresses that you exported from Thunderbird.
  4. Change the Type: drop-down to Thunderbird Contacts
  5. Destination should already be set to Contacts
  6. Click Import
  7. You will now find your Thunderbird contacts inside your Zimbra Addressbook.
     Note:  Thunderbird and Zimbra do not stay in sync.  If you go back into Thunderbird and make changes to your Addressbook, it will not update Zimbra.

  Because we currently offer two different web-mail environments, Convergence and WebMail Lite, each person really has two online address books. When we put Convergence in place earlier this year we copied all address book data from the older WebMail Lite to Convergence. When we bring Zimbra online we will move address books from Convergence to Zimbra. If you have continued to use WebMail Lite and have added more addresses to that system since Convergence became available, those newer addresses will not be in Zimbra when you login there.

  If this describes you, you may want to do one of two things:

  1) If you want to get ready for the switch right now, you could print your address book in WebMail Lite and then use that to add the missing addresses to Convergence. Then when we switch to Zimbra, your updated address book will be moved over and you’ll be all set.

  2) If you would rather do this work later, you could print your WebMail Lite address book now and then after the switch to Zimbra, add the missing folks to your address book there.

  Please note that if you use a desktop application like Thunderbird, your address book is likely on your computer rather than in Convergence or WebMail lite. These address books will be untouched and be just as usable after the switch as they are today.
